Any bookings made for our services supplied by Fill The Floor Discos represent the agreement to the following Terms and Conditions:

All information supplied to Fill The Floor Discos about you (the client) is true and correct.

You agree to pay the fee confirmed via email in full no later than two weeks before your function.

A non-refundable reservation fee as specified in your confirmation email must be received to secure your booking — payable by card, taken securely online, or by bank transfer. The remaining balance is payable as agreed within your confirmation email, by card or bank transfer, either in one payment or in instalments, provided it is received in full no later than two weeks before your function.

Should you cancel a service within four weeks of the function date, a cancellation fee of 50% of the full fee will be payable to Fill The Floor Discos. Should you cancel a service within two weeks of the function date, a cancellation fee of 100% of the full fee will be payable to Fill The Floor Discos.

The following terms and conditions are for clients who have booked any of our Disco services: 
 
In the unlikely event your booked DJ Service is unable to appear for any reason, Fill The Floor Discos reserves the right to fulfill our obligations by arranging for a suitable alternative to appear in his/her place so that the event can proceed.  
 
If requests and special dedications are required on the event date, your music requests must be completed through your event planner no later than one week before the event date.  Access to your planner will be locked three days before your event date and you will be unable to request music after this time. If music requests are not received, we can not guarantee your DJ will be able to play your favourite songs.  Any requests not listed will be played if available and appropriate.  Some tracks may contain explicit content which may offend guests. Whilst we try in all cases to minimise this, occasionally one may slip through the net.  Some of our clients don’t mind these types of tracks so we will ask you to state your preference regarding this in your event planning form.   
 
In cases where Fill The Floor Discos equipment has been left unattended for any period there is not a right for the client, the clients guests or any other person to use such equipment.  Any damage to DJ equipment by client or guests will result in the termination of function and possible communication with the local police.  The client is responsible for the behavior of all of their guests and for safeguarding the DJ and all equipment against theft, damageor other risks from the moment of arrival to the moment of final departure.  
 
From time to time Fill The Floor Discos may take photographs or video during the evening.  Unless expressly forbidden by the client beforehand, Fill The Floor Discos and the client are deemed to have agreed to such photographs and video being taken and used to promote our business.  Decorations to be placed on DJ stands will require authorisation from the DJ at the start of the event.  Drinks are not to be placed on any DJ equipment. 
 
DJ’s are instructed to terminate the evening at the agreed time (usually 12am).  To adhere to venue licensing laws. The last song must finish at this time and no further songs can be played. DJ’s are instructed to disallow microphone use for anything other than speeches. 

 

The following terms and conditions are for clients who have booked any of our Photo Booth services: 
 
When using our Classic Photo Booth service, we ask that you have checked with your venue that the appropriate space is available for setup (approx. 3m x 3m) and within access of a mains supply within 10m of the booth. The Magic Mirror Booth requires approx. 2m x 3m (space for people to stand in front of Mirror) and also within access of a mains supply within 10m of the booth. The Selfie Pod requires 1m x 3m (space for people to stand in front of booth) and also within access of a mains supply within 10m of the booth.  ALL BOOTHS ALSO REQUIRE SPACE CLOSE BY FOR OUR PROPS TABLE! 5ft width and 3ft depth. 
 
The Photo Booth Operator’s instructions must be followed at all times to ensure the safe running of the Booth.  You, the client will take full financial responsibility for any deliberate damage caused to the booth by you or your guests and any such damage may result in a claim to reimburse Fill The Floor Discos for any costs for repair or replacement. 
 
All young children must be accompanied by an adult when using the photo booth.  
 
All props must be returned to our Photo Booth Operator. 
 
In the event of behaviour by guests that could affect the safe running of our equipment, damage to the photo booth, props or other equipment, rudeness or threats to our staff, we reserve the right to immediately cease use of the equipment and remove it from the event. In this instance the fee still remains payable in full. 
 
If the Operator feels due to excessive alcohol consumption someone is unfit to use the booth we reserve the right to refuse them access to the booth. 
 
Fill The Floor Discos instant print templates will also show a QR code which gives you and your guests instant access to your very own gallery of pictures taken using our photo booths at your event.  Fill The Floor Discos takes no responsibility for the sharing of images from our photo booths to social media by your guests.  It is recommended that your guests are asked not to share photo booth pictures sent to them via WhatsApp on social media as this will also share the QR code on the image.  Please note: we may sometimes use these images for promotional purposes. 
 
We will delete any images deemed to be offensive, or could cause embarrassment to individuals and will remove any picture from our website and social media pages if requested. 
 
All SMS, email and social media sharing facilities will depend on a reliable internet connection at your venue for immediate sending/receiving.  We use our own internet connection, however if connection is not available, this facility will queue and send when a reliable internet connection is available.  Please be aware that if this is the case, this may be after the event. 

The following terms and conditions are for clients who have booked our light up accessories: 
 
When hiring our light up numbers or letters, we ask that you have checked with your venue that the appropriate spaceis available for setup approx. 1 metre per number/letter width and within access of a mains supply close by.  The light up numbers/letters must be placed on a flat and level surface and are not to be raised or placed on tables or ledges.  They can be placed on a stable stage but must be set back at least 1 metre to prevent any chance of them falling. 
 
It is the responsibility of the client to ensure the light up numbers/letters are placed (if moved) in a safe place away from bar areas, doors and windows.   
 
PLEASE DO NOT STICK ANYTHING TO ANY NUMBER OR LETTER AS THIS WILL RESULT IN DAMAGE WHEN REMOVED.   
 
Drinks and empty glasses are not to be placed on any Fill The Floor Discos equipment at any time.  These numbers/letters are powered from a 240v mains supply and are therefore unsuitable for outdoor use. 
 
Under no circumstances are children to be left unattended near the light up numbers/letters and should not be allowed to touch the bulbs or frame as this could result in them falling over causing injury and damage to the equipment. 
 
Our light up numbers/letters are fully checked, photographed and left operational before each event.  This is done on site and is checked on collection.  Any severe damage to equipment as a result of misuse will result in a charge of £250 per damaged number or letter if this damage is deemed irreparable. 
 
In the event of behaviour by guests that could affect the safe running of our equipment, damage to the light up accessories or other equipment, rudeness or threats to our staff, we reserve the right to immediately cease use of the equipment and remove it from the event. In this instance the fee still remains payable in full. 
 
If as part of your package our wireless mood lights are provided, these will be placed in various locations around your venue.  These are not to be moved or covered over and we would ask that children are kept away from these as the light intensity is strong.  These lights are hired in 6, 12 and 24 individual units.  Please ensure your guests do not move or remove these units as a £400 per unit charge will be payable if these lights are damaged or removed from the venue. 

The following terms and conditions are for clients who have booked our LED Dance Floor: 
 
In order to protect our dance floors, appropriate dance shoes must be worn at all times.  No food or drink of any kind is permitted on the dance floor and should only be consumed in the seated areas away from the dance floor. Any liquid spillages must be mopped up immediately, as they will cause serious damage if absorbed into the floors. 
 
If for any reason the dance floor stops working then the client must speak to the DJ for support.  
 
The Client must be aware that it is their responsibility prior to booking the dance floor, that the size booked will fit in your venues provided area.  Once at the venue our installation team will only lay a floor size big enough to cater the space provided by the venue. If this area is smaller than the floor size you are contracted to then no refund or monies back will be due to the client. 
 
Public Liability insurance evidence is available from Fill The Floor Discos at any time should it be required by yourvenue.  If for whatever reason the venue refuse the installation of the dance floor due to lack of “pre-event” public liability insurance evidence, the full fee will still be liable by the client. 
 
All Dance Floors will be collected at the end of the event shortly after the agreed finishing time.  In some circumstances we may agree with the client or the venue to collect the dance floor the following day.  Please ensure your venue is aware of the agreed times and access is granted for removal of the Dance Floor.  If our installation team fails to gain access to the venue for collection, the Client will be charged £25 per hour thereafter until access for pick up is granted. 
 
The Client must agree a set up time no later than a week prior to your event. Fill The Floor Discos will ensure the installation team is on site at this time.  Once the installation team is on site the dance floor must be set up at the agreed times contracted and can not be kept waiting for the installation area to become available. 
 
Under no circumstances should the client, the clients guests or venue move or de-rig any dance floors without Fill TheFloor Discos permission. If the dance floor is moved or tampered with for any given reason and damage is causedthen the Client will be responsible for the cost of repair to the floor.  All Clients have a responsibility to ensure your venue is aware of our terms. 

Furniture – Tables, Chairs or any form of furniture is totally forbidden to be setup or placed on the dance floors. 
 

If the dance floor stops working during your event and we have any evidence of furniture being sited on the dance floor you will be liable for damages. 
 
Our installation team will always take photographic evidence of every dance floor once set up and in working order. If your dance floor stops working during the event after we have left it in fully working order after set up, you will not be entitled to any form of refund or payment. 

The Client must ensure the venue have agreed to the dance floor being laid upon their venue flooring. 
 
It is the responsibility of the Client to inform us if there is any loading/unloading restrictions at the venue such as stairs/steps, steep hills, no lift access.  Failure to do so may result in the dance floor not being laid due to access restrictions at the venue.  If this occurs full fee will still remain applicable. 

Clients will be liable to pay for damages to the dance floor if they do not adhere to the above terms and conditions.  
 
In the event of equipment failure resulting in the complete loss of music, failure of Photo Booth, accessory equipmentor Karaoke services for longer than 30 minutes, you will be entitled to a full refund unless the failure is caused by events outside of our control (e.g local power failure).

If request forms are not received, we can not guarantee your DJ will be able to play your favourite songs. Any requests not listed will be played if available. Some tracks may contain explicit content which may offend guests. Whilst we try in all cases to minimise this, occasionally one may slip through the net. If you would like us to try our best to ensure these tracks aren't played please let us know by emailing info@fillthefloordiscos.co.uk.

In cases where Fill The Floor Discos equipment has been left unattended for any period there is not a right for the client, the clients guests or any other person to use such equipment. If using our Photo Booth service, we ask that you have checked with your venue that the appropriate space is available for setup (approx. 3m x 3m for the Classic Photo Booth and 1.5m x 3m for the Magic Mirror Booth) and within access of a mains supply within 10m of the booth.

The Photo Booth attendant's instructions must be followed at all times to ensure the safe running of the Booth. You, the client will take full responsibility for any deliberate damage caused to the booth by you or your guests.

Young children must be accompanied by an adult at all times when using the photo booth. Any props belonging to Fill The Floor Discos must be returned to our Photo Booth attendant after each use of the Photo Booth.

In the event of behavior by guests that could affect the safe running of our equipment, damage to the Photo Booth, props or other equipment, rudeness or threats to our staff, we reserve the right to immediately cease use of the equipment and remove it from the event. In this instance the fee still remains payable in full.

If the attendant feels due to excess alcohol someone is unfit to use the booth we reserve the right to refuse them access to the booth.

Fill The Floor Discos photo booth images are uploaded to our website photo booth gallery up to 48 hours after your function. These pictures can be password protected within your gallery with the code printed on each picture. Please state if you require a password protected gallery. Please note: we may sometimes use these images for promotional purposes.

We will delete any images deemed to be offensive, or could cause embarrassment to individuals and will remove any picture from our website and Facebook page if requested.

In the event of equipment failure resulting in the complete loss of music, failure of Photo Booth equipment or Karaoke services for longer than 30 minutes, you will be entitled to a full refund unless the failure is caused by events outside of our control (e.g local power failure).
