Organising a school prom is a lot of work on top of a full timetable — and school prom DJ hire shouldn’t add to it. Fill The Floor Discos provides discos for school proms across Buckinghamshire, Hertfordshire and the surrounding area — booked with one supplier, set up by one person, on one invoice.

I’m Daniel. Alongside running Fill The Floor Discos, I’m a secondary school music teacher and head of department. So I come at your prom from both sides of the desk: I know what a school needs from a supplier, what the staff on the night are worrying about, and where a prom either takes off or quietly dies at half nine.

Why schools book everything with one supplier

Three suppliers means three contracts to check, three sets of insurance and PAT certificates to file, three vehicles to get through the gate and three people to find when something needs moving. It also, in my experience, means three people each assuming someone else is handling the bit in the middle.

Booking it together removes all of that. It’s usually cheaper than three separate hires, and it means the letters are lit, the booth is running and the music is on before the first student walks in — because it’s the same team setting all of it up.

What matters to staff when arranging school prom DJ hire

  • Enhanced DBS checked. I work in a school; the paperwork you’d expect is already in place.
  • Public liability insurance and PAT-tested equipment. Certificates sent with the booking, so your business manager isn’t chasing them the week before.
  • Clean edits only. Every track is checked. No school wants to explain a lyric to a parent on Monday morning.
  • We work with your venue’s sound limiter. If the hall has one, tell me the level and I’ll bring our own monitoring so the power doesn’t cut mid-song.
  • Requests handled sensibly. Students can request in advance; anything unsuitable quietly doesn’t get played, and nobody has to be the bad guy on the night.
  • Set up before doors, packed down after. Arrival time agreed in advance around your access window.

When to book school prom DJ hire

Prom suppliers get booked a long way ahead of the night itself. Venues and entertainment for a June or July prom are typically secured from the September before, and the best dates in the season go first. If your prom committee is forming this term, that’s the right moment to pin the date down.

If you’re planning further ahead than that, even better — I’m already taking bookings for the next two prom seasons.

Proms we’ve done

Prom nights are a big part of what we do, and most schools that book us come back the following year — often for both year groups.

We’ve DJ’d Year 11 and Year 13 proms for St Michael’s Catholic High School, St Bernard’s Catholic Grammar School, St Joan of Arc Catholic School and Westminster Academy, and the Year 11 prom for John F. Kennedy Catholic School — plus a good many more over the years.

Do you cover our area?

We’re based in Buckinghamshire and cover school prom DJ hire across Bucks and Herts as standard — Aylesbury, Watford, Hemel Hempstead, St Albans, Berkhamsted, Tring, High Wycombe, Bushey and everywhere between. We travel further for proms than for most jobs, and have done them in Slough, Denham and West London. Full details are on our areas we cover page, or just ask.

Can students request songs?

Yes, and it works best when they do. I’ll take a request list in advance and check everything for clean edits before the night.

Can we have the letters spell something other than PROM?

Yes — the year, the year group number or the school’s initials all work. Say the word when you book.

How do we pay?

Invoice to the school or PTA, with a booking confirmation and contract up front. No deposit taken until you’ve had the quote and are happy.

Terms & Conditons

Any bookings made for our services supplied by Fill The Floor Discos represent the agreement to the following Terms and Conditions:

All information supplied to Fill The Floor Discos about you (the client) is true and correct.

You agree to pay the fee confirmed via email in full no later than two weeks before your function.

A non-refundable reservation fee as specified in your confirmation email must be received to secure your booking. The remaining balance is payable as agreed within your confirmation email.

Should you cancel a service within four weeks of the function date, a cancellation fee of 50% of the full fee will be payable to Fill The Floor Discos. Should you cancel a service within two weeks of the function date, a cancellation fee of 100% of the full fee will be payable to Fill The Floor Discos.

In the unlikely event your booked service is unable to be supplied for any reason, Fill The Floor Discos reserves the right to fulfill our obligations by arranging for a suitable alternative so that the function can proceed.

If requests and special dedications are required on the function date, a requests form must be completed by the client and uploaded via our website no later than two week before the function date. If request forms are not received, we can not guarantee your DJ will be able to play your favourite songs. Any requests not listed will be played if available. Some tracks may contain explicit content which may offend guests. Whilst we try in all cases to minimise this, occasionally one may slip through the net. If you would like us to try our best to ensure these tracks aren't played please let us know by emailing info@fillthefloordiscos.co.uk.

In cases where Fill The Floor Discos equipment has been left unattended for any period there is not a right for the client, the clients guests or any other person to use such equipment. Any damage to equipment by the client or the clients guests will result in the termination of function and possible communication with the local police.

The client is responsible for the behaviour of all of their guests and for safeguarding the DJ and all equipment against theft, damage or other risks from the moment of arrival to final departure.

From time to time Fill The Floor Discos may take photographs or video during the evening. Unless expressly forbidden by the client, Fill The Floor Discos is deemed to have agreed to such photographs and video being taken and used to promote our business.

Decorations to be placed on DJ stands will require authorisation from the DJ at the start of the function. Drinks are not to be placed on any equipment.

DJ’s are instructed to terminate the evening at the agreed time (usually 12am). To adhere to local licensing laws the last song must finish at this time and no further songs can be played.

DJ’s are instructed to disallow microphone use for anything other than. We would ask that appropriate language is used in front of children and others who may take offence when using the microphone(s).

If using our Photo Booth service, we ask that you have checked with your venue that the appropriate space is available for setup (approx. 3m x 3m for the Classic Photo Booth and 1.5m x 3m for the Magic Mirror Booth) and within access of a mains supply within 10m of the booth.

The Photo Booth attendant's instructions must be followed at all times to ensure the safe running of the Booth. You, the client will take full responsibility for any deliberate damage caused to the booth by you or your guests.

Young children must be accompanied by an adult at all times when using the photo booth. Any props belonging to Fill The Floor Discos must be returned to our Photo Booth attendant after each use of the Photo Booth.

In the event of behavior by guests that could affect the safe running of our equipment, damage to the Photo Booth, props or other equipment, rudeness or threats to our staff, we reserve the right to immediately cease use of the equipment and remove it from the event. In this instance the fee still remains payable in full.

If the attendant feels due to excess alcohol someone is unfit to use the booth we reserve the right to refuse them access to the booth.

Fill The Floor Discos photo booth images are uploaded to our website photo booth gallery up to 48 hours after your function. These pictures can be password protected within your gallery with the code printed on each picture. Please state if you require a password protected gallery. Please note: we may sometimes use these images for promotional purposes.

We will delete any images deemed to be offensive, or could cause embarrassment to individuals and will remove any picture from our website and Facebook page if requested.

In the event of equipment failure resulting in the complete loss of music, failure of Photo Booth equipment or Karaoke services for longer than 30 minutes, you will be entitled to a full refund unless the failure is caused by events outside of our control (e.g local power failure).
